NovaWorks Privacy Policy

NovaWorks is operated by Vibnox to help subscribed organizations manage estimates, invoices, customer records, project photos, and related workflow communications. This policy explains how information is collected, used, and protected.

1. Information We Process

We may process:
- organization account information
- user profile and login information
- customer contact and address information
- estimate, invoice, payment, and project workflow records
- uploaded photos and supporting documents
- device, browser, IP address, and access-log metadata

2. How Information Is Used

Information is used to:
- authenticate users and secure access
- create and deliver business documents
- support estimate approval and invoice workflows
- maintain audit trails, fraud prevention, and system monitoring
- provide support, incident response, and compliance operations

3. Sharing

Information may be shared with trusted subprocessors and infrastructure providers as needed to operate NovaWorks, including hosting, storage, authentication, communication, and analytics providers subject to contractual safeguards.

4. Security

Vibnox applies administrative, technical, and organizational safeguards designed to protect tenant information, including access controls, tenant separation, logging, and operational monitoring.

5. Retention

Records are retained for as long as needed to deliver the service, meet contractual obligations, resolve disputes, support security, or comply with legal requirements.

6. Your Organization’s Role

Your organization controls the business data it places into NovaWorks and is responsible for lawful collection, customer notices, and authorized use of the data submitted through the platform.
